Available Event Rental Locations, Capacity And Pricing

Pricing is based on a five-hour block of time. Additional time may be added at a rate of $100/hr. All rentals include tables, chairs and access to kitchen and restroom facilities.

Hoyt East Galleries: $750

Hoyt East’s main galleries are an impressive setting for small-scale mixers and cocktail parties up to 50 guests. Rooms are climate controlled with convenient access to kitchen and restroom facilities. Available after-hours only (Fridays & Saturdays, 5 pm – midnight.  Sunday, 11 am –8 pm)

Hoyt West Period House: $1250

Alexander Crawford Hoyt’s former 1917 home is an elegant venue for bridal showers, anniversary parties, corporate retreats, wedding celebrations and other special occasions. Seats up to 98 guests at 60” rounds. Available Tuesday-Thursday, 5 pm – 11 pm.  Fridays & Saturdays, 11 am – midnight.  Sunday, 11 am –8 pm.

Hoyt West Period House & Terrace: $2000

Need a little more room for your in-door/out-door affair? Expand onto the terrace to accommodate an additional 48 guests under a 20’x30’ tent with sides. Available Tuesday-Thursday, 5 pm – 11 pm.  Fridays & Saturdays, 11 am – midnight.  Sunday, 11 am –8 pm.

Hoyt East Lawn: $5500

Surrounded by landscaped gardens and towering trees, this space is the perfect setting for large events up to 225 guests. Includes an appropriately sized tent with lighting and sides. Available Fridays & Saturdays, 5 pm – midnight.  Sunday, 11 am –8 pm.

Photography: $100/hr

Permits In-door and/or out-door photography for special occasions. Some areas may be restricted due to programming, scheduled maintenance, or collections care.

Additional Time

Additional time may be added to your rental for $100/hour.

Availability

Space rental is available on a first come, first served basis at the discretion of the Executive Director. Spaces that are open to the public during museum hours are only available after-hours. A 50% deposit is required to reserve a date.

Due to Summer Museum programming, no rentals are scheduled the month of July.

Discounts

Contributors to the current year’s membership campaign in the President’s Circle category or above are entitled to a 10% discount off above rental fees.

Deposit

A non-refundable deposit equal to 50% of the total rental fee is required to reserve the date.  The balance is due two weeks prior to the date of the event. Acceptable forms of payment include cash, check, Visa, Mastercard or Discover.

In addition, a major credit card is required to guarantee a security deposit of up to $500.00 in the event of damages or losses that HCA might incur as a result of the rental. The card will not be charged unless damages are incurred and/or the duration of the rental exceeds the time allotted.

Rental Guidelines.

  • Catering: The Hoyt can recommend but does not require the use of a designated caterer. However, to ensure your event will run smoothly, the selected caterer must contact the Hoyt AT LEAST TWO WEEKS IN ADVANCE of the event date to assess the kitchen and determine location of food service tables. The Hoyt is not responsible for providing linens, dinnerware, kitchen or catering equipment.  As storage is limited, the caterer may deliver equipment no more than 24 hours before the event and must remove all equipment upon completion of the event.
  • Set-up/Decor: The Hoyt will set up tables and chairs according to the needs of the renter up to 48 hours before the scheduled event. The space will be made available to the renter during normal business hours approximately 24 hours in advance of the scheduled event to decorate. Renters are not permitted to tape, tie, hang or otherwise attach decorations to the interiors, or to move furniture artwork or other Hoyt property or the property of others in the care of the Hoyt.  Floral arrangements are permitted with proper table coverings.  Deliveries must be arranged during normal business hours of Tuesday-Thursday, 11-8; Friday, Saturday, 11-4 pm. Display tables may be provided with advance notice. Call 724.652.2882 ext 115 to make decorating and/or delivery arrangements.
  • Parking: Guest parking is on-street only. ADA parking/access may be accommodated with prior notice. Parking is not permitted in the circular drives per the fire code.
  • Clean-up: Clean-up is the responsibility of the renter WITHIN THE RENTAL PERIOD. This includes removing décor, catering equipment and garbage.  A commercial dishwasher is available in the Hoyt East kitchen.
  • Cancellation: A minimum of two weeks notice is required to cancel a reserved date. The non-refundable 50% deposit may be applied to a future rental if rescheduled within a 12 month period on a mutually agreeable date.

Event Liability Insurance

Renters must provide proof of insurance coverage naming the Hoyt Center for the Arts as an additional insured, on their personal property in and about the rented locations within the Hoyt as well as for liability insurance to protect themselves against claims of the renter’s guests, invitees and vendors in and about the rental area. The standard amount of liability is $1,000,000 and is usually provided by the Licensee’s insurer as an addendum to a homeowner’s policy or a special one-day Special Event Endorsement. Many families with umbrella coverage, corporations and educational institutions already have acceptable liability coverage for off-site events, but must provide proof of coverage. Neither Hoyt Center for the Arts nor Arts and Education at the Hoyt may be held responsible for the security of personal belongings of the renter, guests, caterer or any other third party services.

Restrictions

  • Absolutely no smoking or live flame is permitted inside the premises. This includes candles and cooktops. Fireworks are not permitted on the grounds.
  • While guests are welcome to tour the main galleries, guests are prohibited from touring other areas of the facility.
  • The sale of alcohol is strictly prohibited, as is service of alcohol to anyone under the age of 21.
  • Renters may not charge admission or use the facility to generate funds for another charity.
  • Photography of guests is permitted for personal use. However, photography of the Hoyt, its property, or property of others in the care of the Hoyt may not be used or reproduced for commercial purposes in any manner whatsoever.
